Position Descriptions
Human Resources is responsible for managing the College's official position description repository. Position descriptions stored in departmental or personal folders are not recognized as official records.
Human Resources’ role is to ensure that any updates to job descriptions are handled transparently, consistently, and fairly across the institution. When considering changes such as assigning new duties, adjusting responsibilities, or updating qualifications, it is important to consult with Human Resources prior to making any changes. This ensures alignment with institutional policies and maintains the interests of the employee, the department, and the institution.
It is important that position descriptions are current, accurate and complete. Position descriptions describe the essential functions of a job and are used for a number of Human Resources functions, including:
- Job Evaluation - to ensure jobs are assigned to the appropriate market range.
- Employment Laws- to ensure jobs are in compliance with policies, state or federal employment laws, including the FLSA (Fair Labor Standards Act) exemption.
- Internal Equity – to ensure comparable salary for comparable jobs.
- Performance Assessments - to ensure that the current position description accurately reflects the duties, responsibilities and priorities of the role, as understood by both the employee and the supervisor. This is the foundation for which the performance assessment should be based upon.
- Recruiting - to ensure that the job posting accurately reflects the job’s essential functions in order to identify the most qualified candidates and to provide new staff with a clear understanding of the job.
Position Description Template
All position descriptions should use our standard position description template for capturing the responsibilities and expectations of a given position. When drafting a position description, please be sure to use Non-Prejudicial Language [PDF].
Position Description Review
To submit an update to a position description or to begin the staff recruitment process, you must first complete the Position Description Review form. Any changes to position descriptions must be submitted for review and approval by Human Resources.
Job Titles
A job title should clearly and accurately describe the job’s roles and responsibilities. To ensure that titles are appropriate descriptors of positions and to ensure consistency across the College, titles must be reviewed and approved by Human Resources.
