How does my registered group gain charter status?

Submit an interest form and meet with OSE. Once your registered group is approved by the Student Government Organization (SGO), it becomes Chartered, unlocking eligibility for SBC funding. SGO will send an open call for organizations that would like to become Chartered once a semester. Don't forget to re-register annually. Inactive groups must restart the process after prolonged inactivity.

What funding am I eligible for?

Registered Organizations: May receive limited seed funding before chartering.
Chartered Organizations: Eligible to apply for full Student Budget Committee (SBC) funding.
**All funding is contingent upon completion of club re-registration processes.

What’s required of student organization leaders?

At the base level, we require Presidents to annually attest to the Non-Discrimination and Equal Opportunity Policy, and Treasurers must complete annual club training before accessing organizational funds. Clubs are encouraged to have more than one treasurer-trained member.

How do I plan and reserve space for events?

Use 25Live via Swat Central to request space through the Event Form and wait for an email confirmation (confirmations may take 1–2 weeks). Make sure your requests and plans include setup/clean-up time.

Can my events serve alcohol?

Alcohol Events (A.R.E.s): Must have more than 10 guests, have members who have completed host training for the current academic year, and submit permit requests by Wednesday at 12pm of the event week. 
Specific location restrictions apply (e.g., no alcohol in classrooms). **Please see the linked page to AREs for further information.

What if I want to host a bonfire at Crumhenge?

Reserve via 25Live and apply for a Bonfire Permit at least 3 business days ahead.
Students are responsible for the wood, cleanup, and fire extinguisher pickup from Public Safety. Failure to clean up may result in $50–$350 fine.

When is the latest I can submit a contract request?

Events that require contracts must complete the Contract Submission Form a minimum of 14 DAYS before the event. Submitting your contract form less than 2 weeks in advance will likely result in your event needing to be rescheduled. If you are unsure that your event needs a contract, reach out to OSE as early as possible.

What supplies and support does OSE offer?

OSE lends items like compostable tableware and cutlery, lawn games, and much more!
For AV needs and support, such as projectors, screens, and microphones, contact swaudio@swarthmore.edu for audio help — first-come, first-served.

How do I get publicity and printing support?

Reserve banner space, chalking, or posting via OSE (ose@swarthmore.edu).
Submit events to the Reserved Student Digest email.
Use Print Services with your club budget code.
