Indirect costs, or overhead, pay for facilities and administration expenses related to the grant, and are charged on all salaries, including those of students for non-academic work at any time of the year. In contrast, indirect costs are not charged on summer stipends. Swarthmore's indirect cost rates, negotiated on December 14, 2016 with the U.S. Department of Health and Human Services for the period 7/1/2016 - 6/30/2020, are:

On campus: 70%
Off campus: 26%

After 7/1/2020, continue to use the current rates until the indirect cost rate agreement is amended.

Salary for investigator/coordinator of summer projects is one- or two-ninths of annual salary, for one or two months of summer work.

Postdoc salary is set by the granting agency or calculated by Michele Mocarsky (; x8626) in our Human Resources Office.

Student stipends, grants, or fellowships are $4,500 for one summer (10 weeks) of summer research. The rate will increase to $4,800 in summer 2019. FICA and indirect costs are not charged on summer stipends. By contrast, student salary is what students are paid in hourly wages to do non-academic work at any time of the year. FICA and indirect costs are charged on this. For information about the student salary pay scale, please contact the Student Employment Office

FICA is 7.65% and should be charged on all wages and salaries, including hourly wages earned by students.

Fringe benefits are calculated on the salary of a postdoc or other full-time employee hired under the grant. Fringe includes a full benefits package (medical, life, and disability insurance, retirement) and FICA. The fringe benefit rate varies according to salary; please contact Michele Mocarsky (; x8626) to determine the proper rate.

The mileage reimbursement rate effective 1/1/20 decreased to 57.5 cents per mile. If you're traveling on or after 1/1/20, use the new rate (57.5 cents). For travel during the period 1/1/19 – 12/31/19, use the old rate (58 cents).

Per diem rates are listed on the U.S. General Services Administration web site.
