Indirect costs, or overhead, pay for facilities and administration expenses related to the grant, and are charged on all salaries, including those of students for non-academic work at any time of the year. In contrast, indirect costs are not charged on summer stipends. Swarthmore's indirect cost rate agreement was negotiated on December 14, 2016 with the U.S. Department of Health and Human Services, originally for the period 7/1/2016 - 6/30/2020. The following provisional rates remain unchanged and are in effect from 7/1/2020 until amended:

On campus: 70%
Off campus: 26%

The College’s indirect cost agreement is currently under an extension in accordance with federal Covid-19 grant flexibilities.

If you need a copy of the College's Indirect Cost Rate Agreement, please email sponsoredprograms@swarthmore.edu.

Salary for investigator/coordinator of summer projects is one- or two-ninths of annual salary, for one or two months of summer work.

Postdoc salary is set by the granting agency or calculated by Stephanie Norman (snorman1@swarthmore.edu; x5669) in our Human Resources Office.

Student stipends, grants, or fellowships are awarded at a rate determined by the College for one summer (10 weeks) of summer research. FICA and indirect costs are not charged on summer stipends. By contrast, student salary is what students are paid in hourly wages to do non-academic work at any time of the year. FICA and indirect costs are charged on this. For information about the student salary pay scale, please contact the Student Employment Office

FICA is 7.65% and should be charged on all wages and salaries, including hourly wages earned by students.

Fringe benefits are calculated on the salary of a postdoc or other full-time employee hired under the grant. Fringe includes a full benefits package (medical, life, and disability insurance, retirement) and FICA. The fringe benefit rate varies according to salary; please contact Stephanie Normal (snorman1@swarthmore.edu; x5669) to determine the proper rate.

The mileage reimbursement rate effective 1/1/21 decreased to 56 cents per mile. If you're traveling on or after 1/1/21, use the new rate (56 cents). For travel during the period 1/1/20 – 12/31/20, use the old rate (57.5 cents).

Per diem rates are listed on the U.S. General Services Administration web site.
