Student Payroll Office
Student employment at Swarthmore College is overseen by two offices: the Student Employment Office and the Student Payroll Office. Working on campus can be an invaluable learning opportunity for students, and the Student Payroll Office offers resources to help support the student employment process.
Student Pay Schedule Transition
Beginning July 12, 2026; all Student hourly employees will transition to the Staff biweekly pay schedule.
To make this transition occur, Student employees will receive their final payment on the current pay schedule on July 22nd for hours worked between July 5th and July 11th (one week only), and will then receive another payment one week later on August 5th for hours worked between July 12th and July 25th. This will then align with the current Staff biweekly schedule and normal biweekly payments will occur.
This change will enable a more efficient payroll process and standardize payroll cycles across the college.

Transition FAQs
1. Will I miss a paycheck?
No, this transition will not result in any reduction of pay. You will receive payment for hours two weeks in a row to align with the Staff biweekly schedule.
2. What is the new payment schedule?

3. Why must “Non-exempt” employees report time?
FLSA regulations require employees to track their time worked by the hours and require that overtime be paid for work in excess of 40 hours in a workweek. To ensure that the College meets these regulations, non-exempt employees must report time worked each day.
4. What should I do to prepare for the transition?
Ensure that you enter your time as you work it to ensure you are paid for work performed in a timely manner. You will be submitting time sheets two weeks in a row, on the 6th and 13th of July. Update any reminders that you currently have for yourself to the new schedule and ensure you are entering your hours each day you work and submitting your hours at the end of the pay period. Always check your paycheck for accuracy and alert the payroll department to any concerns straight away.
5. How do I update my direct deposit?
Students will still use the link found on our payroll website to update their direct deposit until Workday is live.
6. How do I update my W4 Federal Withholdings?
Students will continue to log into mySwarthmore self service to update their tax elections. Step-by-step instructions can be found here.

The Student Employment Office (SEO) helps to connect the more than 1,200 students who work while at Swarthmore with on-campus employment opportunities. SEO does not directly place students in jobs, but rather helps them identify on-campus job opportunities that are the right fit for their skills, interests, and availability. We also work with on-campus employers to help them advertise open positions to students, and welcome them to contact SEO if they need assistance in filling a student job.
