IMPORTANT: Purchasing & Expense Guidance and Deadlines Ahead of Workday Launch
I am writing to follow up on Jason Parkhill’s email from Friday, Aug. 14, in which he shared that the College will begin decommissioning several of the systems and processes currently used for purchasing, invoice submission, PCard reconciliation, and expense reimbursement as we prepare to transition to Workday on October 1. The following information is pertinent to faculty and staff members that serve as budget managers, have purchasing authorization, have a College PCard or remit for expense reimbursement at the College. IMPORTANT — Workday Training Registration and Policy Updates
As we approach the Workday go-live date of October 1, our Workday project team has been hard at work coordinating training sessions to prepare our community for upcoming changes to how functions in Human Resources, Finance, Payroll, and Student Employment will operate. Even if you do not work in one of these areas, please be aware that Workday will change how you do things like log your time, submit expense reports, submit position descriptions, make your benefits elections, hire student workers, clock in and out, and more. We are offering training sessions throughout September and October to explain how key College operations will work in Workday, answer questions, and make the transition process as seamless as possible. Important — Cutoff Dates Before Oct. 1 Launch
As our transition from Banner to Workday continues, I write with important information on key dates ahead of the Oct. 1 launch. While all Banner-related operations in Finance, Payroll, Human Resources, and student jobs will transition to Workday in October, some operations and platforms will have earlier cutoff dates to ensure we can move College data seamlessly into Workday. An Update On Our Campus Transition to Workday
As we shared with our community last July, after a collaborative process that included listening sessions, vendor demonstrations, and survey feedback, Workday was selected as the software we will use to centrally manage the College’s data, replacing Banner. Workday is a trusted leader across higher education and offers an intuitive and streamlined user experience that will lead to easier access to information and better support for day-to-day work across the College. Transitioning To A New Enterprise Resource Planning Platform
Over the past year, we’ve been exploring ways to improve the College’s core administrative systems to better support you by identifying a new enterprise resource planning (ERP) system. Broadly speaking, ERP systems are software platforms that help organizations like colleges and universities manage core operations — such as finance, payroll, human resources, and student records — in one place. Information Systems Modernization Vendor Demonstrations
Following the readiness assessment work completed in the fall which involved surveys, listening sessions, and stakeholder interviews, the College is beginning the formal process of evaluating next generation, cloud-based, Enterprise Resources Planning (ERP) systems.
