June 2026 - Important Workday Update
Sent June 17, 2026
Dear Faculty and Staff Colleagues,
As the transition from Banner to Workday continues, we are approaching a key milestone and are writing to share more details about how this might affect you over the next few months, prior to the official Workday launch in October.
To help ensure a smooth and successful transition, we are implementing a temporary data freeze between July 19 and Sept. 19, 2026. This freeze is a strategic step to help ensure data integrity and enable us to direct our time, resources, and attention to data auditing, training efforts, and system changes required for a successful Workday launch.
The data freeze means that, during the period between July 19 and Sept. 19, we cannot make changes to most HR or employment-related items for faculty and staff, such as:
- Salary, job title, or other position changes
- Creating or posting new positions to Page Up
- Hiring and onboarding of new staff not entered into the system prior to July 19
- Other pay-impacting data, such as commuter or HSA deductions from your paychecks
We strongly encourage you to submit any changes to your home address and payroll tax withholdings prior to July 19.
This data freeze does not apply to student hiring. The Student Employment Office will follow up in a separate email with student hiring deadlines for Fall 2026 and onboarding tips ahead of the Workday transition.
We recognize that unplanned, urgent circumstances may require us to make exceptions to the data freeze. Please limit such requests and know that we cannot commit to accommodating them. If you have a staffing or personnel issue related to any of the items listed above, and you feel a change is needed during the data freeze, please contact the appropriate member of the senior staff who oversees your area, who will raise the issue with the Workday Steering Committee. If your question concerns your specific personnel information, you can reach out to Human Resources directly at humanresources@swarthmore.edu.
Thank you for your flexibility, partnership, and commitment as we move through this transition. Implementing Workday will ultimately provide more efficient processes, improved access to information, and better tools to support the work we do every day. We are confident that the investments we are making today will strengthen our ability to serve students and support our community for years to come.
Sincerely,
Members of the Workday Steering Committee
