Records Management

Official records are integral to the operational and administrative processes of the College and provide important documentation related to its history.

Why is records management important?

Proper records management procedures:

  • Ensure key documents and information are preserved and can be easily retrieved when needed

  • Provide structure and guidance for the appropriate disposal of documents, in particular when they contain sensitive information.

Who should maintain records?

The Records Management program is overseen by the Office of General Counsel, while the College Archivist serves as the Records Manager and works with various advising committees to develop, implement, and administer the program.

  • All employees of Swarthmore College are responsible for managing and maintaining their records in compliance with the Swarthmore College Records Management Program as well as applicable department policies and the law.
  • Each department is responsible for developing and updating a records retention schedule as appropriate, in coordination with the College Records Manager.
