Resources for Student Employees
The Student Employment Office in now on Workday! Starting with hours worked on Sunday, Sept. 20, all student employees will submit hours for manager approval using our new time entry system, Workday. Students will continue to search and apply for Fall 2026 job opportunities in JobX until mid-October.
Since the College is only using Workday for time tracking at the moment, only currently hired student workers need access. Please email seo@swarthmore.edu with any questions.
Current Student Employees
If you are a student worker, Workday will change how you enter time and have your time approved.
Review and submit your time on payroll deadline Mondays at 10 AM for your manager's approval. The payroll calendar can be found here.
Logging in for the First Time
We recommend using a computer the first time you log in:
Go to workday.swarthmore.edu
Log in using your Swarthmore College email address and Single Sign-On (SSO) password.
You do not need to download Microsoft Authenticator, click the Other Options link, then the "external mfa" option to authenticate using DUO.
Note: Many students will see an extra position called "Student Employment Onboarding" on their Workday profile. This profile placeholder keeps your employment records open as you switch jobs or pause employment during breaks or study abroad semesters.
Workday Mobile
Workday has a mobile app available for iOS and Android. You can view video previews of Workday Mobile time entry in our Time Entry Training Panopto folder.
To install Workday Mobile, please take the following steps:
Navigate to the App Store or Google Play Store.
Search for “Workday” and select the app. Select “Install” to download the free app.
Once installed, open the app to access Workday Mobile. Note: VPN is not needed to access Workday, but DUO authentication is required.

Time-Entry Training & Support
Live Training Sessions: Both Zoom and in-person Student Employment 101 training sessions will be offered throughout September and October. Please complete this form to register for a training session.
On-Demand Video: Watch the Workday Time Entry for Non-Kiosk Users video in the Time Entry Training Panopto folder for instructions on how to enter your time using a computer or mobile device.
Drop-in Support: Stop by the Student Employment Office during Drop-in Hours or visit us at Sharples during a DCC tabling session.

First-Time Student Employees
All first time student workers must complete payroll onboarding paperwork and an in-person Form I-9 document verification at the Student Employment Office (Parrish Hall 152-158) before beginning any work or training. Once your future manager lets the Student Employment Office (SEO) know you've accepted their offer, the SEO will reach out to you to schedule an appointment.
Below is a list of the information and documents students need to complete your onboarding.
Bank Account Information: Specifically, your bank name, account number, and routing number for direct deposit.
Social Security Number (SSN): This is required for tax purposes.
Identification Documents for Form I-9 Verification: The I-9 form confirms your eligibility to work in the United States. You'll need to present original, unexpired documents from the federal List of Acceptable Documents. Common examples include the U.S. Passport or a combination of a driver's license and Social Security card. We cannot accept photocopies. pictures or expired documents.
The most important thing to remember is to bring physical, original, unexpired I-9 verification documents to campus for the in-person I-9 appointment. A laptop may also be needed during the appointment.

All students should continue to search and apply for Fall 2026 job opportunities in JobX until mid-October. Answers to common JobX questions are included below:
- When can I apply for jobs on JobX?
- Only currently enrolled, active, full-time Swarthmore students can be hired into a student employment position. Students that are currently on a leave of absence or enrolled part-time are not eligible for employment at Swarthmore in any capacity which includes:
- Student employment positions
- Independent contractor positions
- Staff positions
- Volunteer positions
- Students enrolled at another institution (including tri-co) are not eligible to work in a student employment position.
- All students must be on campus and perform their work tasks on campus. Remote and hybrid forms of work are not permitted outside of Swarthmore.

- If you are struggling to find a working opportunity on campus, please ensure you search JobX thoroughly.
- To do this, go to the JobX dashboard, click on “Find a Job” through the “Quick Search” tool within your JobX dashboard, and then click “Show All Active Jobs.”
