Speaker Agreements
For initiating a speaker agreement, departments should contact Chris Kelly in the Office of General Counsel (ckelly1@swarthmore.edu).
Speaker agreements should be used for all arrangements for outside speakers to come to campus and to document the agreed upon payment (honorarium) as well as the college’s standard terms and conditions. One exception to this policy is if the speaker is only working with the faculty member in a class and is not speaking to a broad audience of campus, then an agreement with the College and that classroom speaker is not required. The speaker agreement gets routed to the speaker via email through DocuSign. If the speaker has their own contract that they use, or if they are booked through an agency, this can be sent to Chris Kelly for the contract review.
Please allow for 10 business days for the contracting process to take place.
The information that is required to be provided to use the speaker agreement template is the following:
- Name of Speaker
- Name of Department
- Contact from Department for contract
- Date, time and location of Event
- Description of event
- Amount of honorarium
Workday Information
If the college’s speaker agreement is used and signed, that can be remitted to Accounts Payable, an invoice from the speaker would not be required. Speakers are on the DPAP (direct pay approved purchases) list and do not require a requisition.
Note that a Workday Contracts system is in process of being developed. College contract procedures will be updated when that system is live (anticipated timing is Spring 2027).
