Transitioning to Workday: New Time-Tracking Process

With the official launch of Workday on Oct. 1 approaching, we want to share an overview of changes to how non-exempt staff members (i.e., hourly workers) will track their time. Given that some of these changes will affect supervisors as well, we thought it would be helpful to share this information broadly. As a reminder, we are offering Workday training sessions throughout this month and next to go over these changes.
Beginning with the Sept. 20 pay period, all non-exempt staff will need to track their actual hours worked — including lunch breaks — each day. So rather than logging how many hours you worked on a given day, you will need to record your workday start and end times, as well as your lunch break each day. These changes are taking effect before the Oct. 1 implementation date to ensure a seamless transition in how payroll is processed.
This approach, which is not uncommon at other institutions, serves a couple of purposes. First, it will help improve the College’s ability to track compliance with the Fair Labor Standards Act, which legally requires employers to accurately document all hours worked by hourly employees. Second, and just as importantly, these changes will help us ensure that all employees are paid for the hours they work.
Ways to Track Your Time
We realize that learning a new system and adjusting to these new practices will take some time, and we’re putting tools and resources in place to make the process as flexible and easy as possible.
If you’re a non-exempt staff member who already uses a time clock, you can clock in and out using one of the more than 20 kiosks that we are installing around campus. These kiosks will replace the current time clocks, and we’re adding more to various locations around campus for convenience.
All non-exempt staff members will also have the option to log hours using the Workday mobile app. We’ll soon share more information on how you can install, log in to, and set up the app.
If you’re a non-exempt staff member who does not currently use a time clock, such as an academic coordinator, you will be able to log your hours by logging into Workday on a computer or by using the mobile app. You may log your actual hours worked at the end of the day, week, or pay period. Again, you’ll just need to record specific start and end times — including lunch breaks — rather than total hours worked. In addition, you will be able to use Workday’s “Quick Add” feature to enter your regular hours once, and then apply them across multiple days.
Supervisor Approvals
Those of you who are supervisors, including academic department chairs, will continue to review and approve timesheets on a biweekly basis.
We strongly encourage you to sign up for the appropriate Workday training sessions based on your roles and job responsibilities. That includes a time-tracking session for those of you who are non-exempt; that session covers these changes in more detail, and it’ll give you an opportunity to ask questions about how the new procedures will work. Training sessions for supervisors will also cover these changes, along with other important information.
