Swarthmore College catering is known for outstanding food and service. We aim to make our catered events the best they can be. We offer fresh local ingredients from our farmers and producers as long as they are available. We use herbs from our own dining services herb garden. We source only the finest meats, cheeses and seafood.

Placing An Order
To provide you with the best service and quality possible we require a minimum of two weeks notice for events of fifty people or more as well as for all dinner and evening events. We require that you place all breakfast and lunch orders at least five business days prior to the date of your event. Please call us as soon as you are aware of an upcoming event in order for us to secure your reservation. If things come up at the last minute we will make every effort we can to accommodate you.
Guest Count Guarantee
For most events, including breakfasts, sit-down dinners, buffet lunches, and dinners, we will need your final guest count four business days prior to your event. Any decrease in the number of guests after the guarantee date will incur charges of the full guarantee number. Our ability to serve additional guests will be determined on a case-by-case basis.
Cancellations must be made at least four business days prior to the event date to insure that no charges will be necessary to cover the cost of your event.
To provide complimentary delivery on Swarthmore College Campus we require a fifty-dollar minimum per order, Monday through Friday, 8 A.M. to 5 P.M. Functions for which we are providing service will not incur a delivery charge. Deliveries are made in hour increments. It is the responsibility of the client to ensure that our staff will have access to the building and the room an hour prior to the event start time. If you are concerned about leaving the delivered food and beverage order unattended, we recommend that you have someone there to meet our delivery staff as they must leave immediately after set up in order to serve other clients. Swarthmore College Catering is not responsible for clean-up of drop off events.
Time and length of service should be defined at the time the reservation is made. The Catering Manager should be made aware of any meetings, speakers or other activity that would occur preceding, during or following the time food service is requested.
The Catering Manager will help you determine staffing needs based on the size of your group, menu, style of service, and logistics of the space. The rate for the attendants is $20 per hour per service person based on actual hours worked with a four-hour minimum.
Most prices in this guide include linen for the buffet table and disposable napkins, utensils, plates, cups, and service-ware. Additional table linen is $5 each and napkins are 50 cents each. The cost for upscale disposable service-ware is $1 per person. China service is available upon request at an additional cost of $5 per person. This may change based on the complexity of your event.
Equipment delivered with a function, not attended by a dining staff member must be left and secured in the same room to which it was delivered. It should not be moved to another room or area without notifying dining services. If equipment is missing at the time of pick up, the client that ordered the event will be charged for replacement. The client is responsible for returning equipment for pick up functions.
Payment may be made through the college account code or by cash or check. If you are non-college group, we require a 50% deposit and must receive the remaining 50% on the day of the event.
